Libora is a cloud-based software-as-a-service (SaaS) platform developed and operated by SoftMaji InfoTech Private Limited ("we", "our", or "us"). This Privacy Policy explains how we collect, store, process, protect, and handle personal and operational information when you use our website, mobile interfaces, and web applications.

2. Information We Collect

We collect information necessary to deliver, maintain, and improve our platform. This includes technical details such as IP addresses, browser types, operating systems, and device identifiers collected automatically during your interactions with our service.

3. Information Provided by Libraries and Admins

When registering for an account or configuring a branch, library administrators provide details including full name, business or institute name, physical address, business email address, contact phone number, tax/GST details (if applicable), staff account credentials, and system configuration preferences.

4. Student and Member Information

Library administrators input and manage student/member data within Libora. This may include student names, contact details, assigned seat numbers, assigned shifts, membership durations, book issue/return history, digital ID cards, and payment logs. The library administrator acts as the data controller for this member data and remains strictly responsible for obtaining all necessary consents and collecting this information lawfully under applicable privacy laws.

5. How We Use Information

We process collected data to facilitate library operations, configure seat allocations, track shift timings, manage billing and invoices, send operational SMS and WhatsApp notifications, provide customer support, detect fraudulent activity, and ensure reliable cloud performance.

6. Attendance and QR Data

Libora records check-in and check-out timestamps through unique digital QR codes assigned to enrolled students. This attendance data is securely stored and made accessible only to authorized administrators and staff of the respective library branch.

7. Payment Information

All online transactions for Libora subscriptions or fee collection modules are processed through secure, PCI-DSS compliant third-party payment gateways (such as Razorpay and Cashfree). Libora does not store or process sensitive debit/credit card details or net banking credentials directly on its servers.

8. Cookies and Similar Technologies

We use necessary session cookies and token authentication to maintain active login states, save administrator preferences, and ensure seamless navigation across the platform. You can control cookie preferences in your browser settings, though disabling cookies may affect platform functionality.

9. Data Storage and Security

We employ multi-tenant isolation, SSL/TLS data transmission encryption, and automated database backups to prevent unauthorized access, loss, or alteration of your records. Access to backend databases is strictly restricted to authorized engineering personnel.

10. Third-Party Services

We integrate with trusted service providers to run infrastructure, message delivery (SMS, WhatsApp APIs), and payment collection. These vendors process data exclusively on our instructions and maintain standard confidentiality and security protocols.

11. Data Sharing and Disclosure

We do not sell, rent, or trade student, member, or library administrator personal data. Data is disclosed only to comply with valid legal processes, protect safety and legal rights, or enforce our platform terms.

12. Data Retention

We retain your data for as long as your account remains active or as needed to provide services, maintain compliance records, resolve disputes, and enforce contractual agreements.

13. Account and Data Deletion

Library administrators may request account closure and permanent deletion of associated student and operational data by writing to our support team. Upon confirmation, data is purged from live systems and queued for lifecycle removal from automated backup storage.

14. User Rights

Users have the right to access, update, correct, or request deletion of their personal information. Students or members wishing to update or remove their records must direct their requests to their respective library administrator.

15. Children's and Student Data

When library facilities serve minors or younger students, the library administrator is solely responsible for obtaining parental or legal guardian consent before adding minor student records to the platform.

16. Changes to Privacy Policy

We reserve the right to revise this Privacy Policy periodically to reflect product updates or legal requirements. Updates will be posted on this page with a revised effective date. Continued use of Libora constitutes acceptance of any revisions.
